Weekly staff rota and hours record for Irish employers – breaks, rest, the 48-hour average, under-18 rules, cover and staff cost
Type a shift code per person and day. The workbook adds up the hours, shows who is on in each area and time slot, flags short rests, missing breaks and under-18 limits, and prints a clean weekly rota for the staff noticeboard.
Most rotas in Irish cafés, hotels, shops and care homes live on a whiteboard or a spreadsheet that only shows names and shift times. Nobody sees that the bartender closing at 1am is back on the lunch shift at 11, that the 17-year-old kitchen porter stayed until 22:35, or that the head chef's average is creeping past 48 hours. And when the WRC asks for working-time records, the rota and the hours actually worked are in two different places.
This workbook puts it together. The ROTA works with your own shift codes and areas, checks cover per time slot and marks problems in red. The WEEKLY ROTA prints one week on A4 for the noticeboard, with the date it was posted. The HOURS RECORD takes the clock-in and clock-out times and the break taken, and the WORKING TIME sheet checks daily and weekly rest, breaks, the 48-hour average and the young-worker rules for each person. STAFF COST adds the Sunday premium, paid leave, employer PRSI at the rates in force each week and the MyFutureFund employer contribution.
Key figures, quick links and a step-by-step guide.

List your staff down the side and the days across the top, decide a short code for each shift with its start, finish and unpaid break, and type one code per person per day. This template already does the rest: it counts the paid hours per week, checks rest and breaks, shows who is on in each time slot and prints a weekly rota for the noticeboard.
Start with the cover you need – how many people per area and time of day – then build shifts around it and give each person their contracted hours and days off. In this workbook you enter the minimum per area and time slot in SETTINGS, and the cover check under the ROTA turns red wherever a slot is short.
Under the Organisation of Working Time Act, 11 consecutive hours in each 24 hours, plus a weekly rest of 24 consecutive hours after a daily rest. Breaks are 15 minutes after 4½ hours worked and 30 minutes after 6 hours. Workers aged 16 and 17 need 12 hours off between shifts and a 30-minute break after 4½ hours. The workbook checks these on every shift.
The hours worked each day and week, leave taken, and a copy of the rota or other notice of working time, kept for 3 years and available to a WRC inspector. You can use a clock-in system or the WRC's form OWT1. The HOURS RECORD sheet holds the same information next to the rota.
Unless Sunday work is already reflected in the pay, employees are due a reasonable allowance, a reasonable pay increase or reasonable paid time off. There is no fixed legal percentage – the Sunday premium in the workbook is an example you set to match your contracts or sectoral agreement.
Yes. The rota always shows 6 weeks from the Monday you choose; use the weeks you need and leave the rest. Save a copy for each period – the hours before week 1 keep the 48-hour average running across the reference period.

A staff rota template in Excel lets a small business plan shifts without rota software or a monthly fee. This rota template is built for Ireland: a 6-week rota with your own shift codes, a weekly rota template to print for the staff noticeboard, and checks on daily rest, weekly rest, breaks and the 48-hour average from the Organisation of Working Time Act.
It also works as a shift schedule and timesheet: record clock in and clock out times, see Sunday and night hours, apply the rules for workers under 18, check the minimum wage by age and follow the weekly staff cost with Sunday premium, employer PRSI and the MyFutureFund pension – for restaurants, hotels, shops, nursing homes and clinics.
