Fire safety log book with due-date alerts for Irish buildings
Log the weekly alarm test, monthly checks, services, drills and training in one place – and see at a glance what is overdue before an inspection or a board meeting.
A paper fire safety log book records what was done, but it never warns you that the extinguisher service is overdue, that a fire warden's training has lapsed or that nobody tested the alarm last week. Whoever is in control of the premises still has to show that the fire safety measures are being kept up.
This workbook keeps the same records – fire alarm tests, emergency lighting, extinguishers, fire doors and escape routes, drills, training and defects – and adds the dates. A DUE DATES page lists every recurring task with its last and next date, and turns red or yellow when something is overdue or coming up.
Key figures, quick links and a step-by-step guide.
Premises, person in control, contractors, intervals, training courses and defect priorities.
Every recurring fire safety task with last done, next due, days left and status.
Weekly call point tests, false alarms, faults and contractor visits, with call point rotation.
12-month grid for fire doors, escape routes, emergency lighting, extinguishers and housekeeping.
Alarm, emergency lighting, extinguishers, hose reels, dry riser and more – next service and overhaul year.
Evacuation time from alarm to all clear, target, roll call and lessons learned.
Fire wardens and staff by course, with expiry dates and renewed records.
Problems found, priority, owner, target date, status and estimated cost.
Charts and key figures for fire safety meetings, the board or an inspection.

Typically: the premises and who is responsible, weekly fire alarm tests, emergency lighting tests, extinguisher and equipment services, checks of fire doors and escape routes, fire drills, staff training and any defects with the action taken. The workbook has a sheet for each of these, and a DUE DATES page that shows what is overdue.
A record of each evacuation practice: date, type of drill, time the alarm was raised, time everyone was out and accounted for, number of people, whether the roll call was complete and what needs improving. The FIRE DRILLS sheet calculates the evacuation time and compares it with your own target.
Emergency lighting is covered by I.S. 3217. In practice it is usually given a short function test every month and a full rated-duration test once a year by a competent person, with the results kept in a log book. Check the current edition of the standard and your contractor's advice – the intervals in the workbook can be changed.
A common routine under I.S. 3218 is a weekly test from a different manual call point each time, plus periodic servicing by a competent person (quarterly is common in Ireland). The FIRE ALARM LOG suggests the call point tested longest ago so you rotate through them all.
Several local authorities publish free Fire Safety Register templates in Word or PDF. This workbook covers the same kind of records in Excel and adds due dates, warnings and a dashboard. If your fire authority asks for a particular format, follow it – you can still use the workbook to keep track.
No workbook can do that. It helps you keep clear, dated records and follow up on what is due, but it is not a fire risk assessment and it does not replace your competent contractors, a fire safety professional or the fire authority.

A fire safety register – or fire log book – is where the person in control of a building records the checks and services that keep the fire safety measures working: the fire alarm log book with weekly tests, the emergency lighting log book, extinguisher services and the fire drill record sheet.
This Excel template keeps all of these in one file for apartment blocks, offices, shops and small schools, and calculates when each task is next due, so the fire register is ready when a fire officer, insurer or the board asks to see it.
