Thorough examinations, weekly checks, defects, quarantine and hire for lifting equipment and accessories – with the Irish 6- and 12-month periods
List every lifting appliance and accessory once, log each report of thorough examination as it comes in, and the workbook works out the next due date, the status, the 12-month calendar and what is quarantined or still waiting for a re-examination.
On most Irish sites and yards the lifting gear records are a folder of GA1s, a sticker on each sling and a spreadsheet that was last updated before the hire telehandler arrived. When the HSA inspector, the main contractor or your insurer asks to see the register, nobody is quite sure which shackles were missed on the last round, whether the hired scissor lift's certificate runs out before it goes back, or what happened to the chain sling that was tagged out last month.
This workbook keeps the lot in one place. Each item has its type, so the right period applies – 6 months for accessories, hoists, MEWPs and anything lifting people, 12 months for cranes, forklifts, telehandlers and vehicle lifts, plus the 4-yearly tests. Log the examiner's reports, the weekly checks on site, every defect with its quarantine tag and decision, and the hire and loan dates: the register, the calendar, the dashboard and a one-page record per item update themselves.
Key figures, quick links and a step-by-step guide.

A list of every item of lifting equipment and every lifting accessory you have – cranes, hoists, forklifts, telehandlers, MEWPs, slings, chains, shackles, eyebolts – with its identification mark, safe working load, date of first use and the date of its last thorough examination. Regulation 54 of the General Application Regulations 2007 asks employers to keep one available for an inspector. This workbook adds the next due date, defects, quarantine, hire and weekly checks.
Schedule 1, Part B of the Safety, Health and Welfare at Work (General Application) Regulations 2007 sets the periods: for example 6 months for lifting accessories, hoists and lifts, MEWPs and equipment used to lift persons, and 12 months for cranes, fork lift trucks, telehandlers and vehicle lifting tables. Part C adds tests, such as every 4 years for mobile cranes and winches. Your competent person can set a shorter period. The periods are pre-filled in SETTINGS and can be edited.
The HSA's form for a report of thorough examination of lifting equipment (GA2 is the weekly examination on construction sites). Log each report on EXAMINATIONS and the weekly checks on WEEKLY CHECKS.
LOLER is UK legislation. In Ireland the rules on lifting equipment are in Chapter 2 of Part 2 of the General Application Regulations 2007 and in Schedule 1 – with their own examination periods, the register (Regulation 54) and the weekly examination on construction sites. That is why this template is built on the Irish periods rather than a LOLER register.
Hire companies have the same examination and register duties for the equipment they hire out, and you need to know that each machine on your site has a current report. Add hired-in items to EQUIPMENT as 'Hired-in', log the hire company's GA1 and the hire dates: the workbook warns you when the certificate runs out before the item is due back.
No. Only a competent person's thorough examination and report can say whether lifting equipment is safe to use. The workbook keeps your records in order, shows what is due and keeps defective or quarantined items flagged until they are cleared.
