Annual leave, bank holidays and sick leave for Irish employers – statutory entitlement, balances, sick pay, team planner and calendar
Enter your staff and their working days, then log every absence on one line. The workbook works out each person's statutory and contract leave, public holiday benefit, sick pay and balance – and shows who is off, day by day.
Most leave spreadsheets assume everyone works Monday to Friday and gets 20 days. In a real Irish small business you have part-timers on three days, weekend staff, someone on variable hours, people who work bank holidays and a seasonal hire who left in August. Their entitlement is the greatest of three methods in the Organisation of Working Time Act, each public holiday needs a benefit, and certified sick days now come with statutory sick pay.
This workbook does that work for you. ABSENCE LOG counts working days on each employee's own pattern, without public holidays and closure days. ANNUAL LEAVE compares the three statutory methods with the contract, adds carried-over leave and public holiday days, and shows what is taken, booked, pending and left. SICK LEAVE tracks statutory sick pay and the limits for force majeure, domestic violence and medical care leave, and the TEAM PLANNER warns you when a team falls below its minimum cover.
Key figures, quick links and a step-by-step guide.

Leave left, requests to decide, sick days and sick pay, with four charts.

Under the Organisation of Working Time Act there are three methods and the employee gets whichever gives the most: 4 working weeks if they worked at least 1,365 hours in the leave year, 1/3 of a working week for each month with at least 117 hours, or 8% of the hours worked (up to 4 working weeks). A 'working week' is the days the person normally works, so a 3-day week gives up to 12 days. The ANNUAL LEAVE sheet calculates all three for every employee and highlights the winner.
5 statutory sick days a year, at 70% of normal pay up to €110 a day, for certified days after 13 weeks' service (Citizens Information). The workbook counts them per calendar year and stops at 31 December; the figures are editable in SETTINGS.
Yes, once they have worked at least 40 hours in the 5 weeks ending the day before the public holiday; full-time staff qualify straight away. If the benefit is an extra day's pay, a holiday on a day they don't work is paid at one-fifth of their weekly pay (never more than a normal day's pay), and a holiday they work on a normal working day at a normal day's pay. The workbook adds the extra day of leave, shows the pay due or reminds you of the day off, per employee. The 40 hours are estimated from contract hours, so check borderline cases.
Leave should be taken in the leave year, or by agreement within 6 months of it; anything longer has to be agreed. Leave missed because of illness can be carried for up to 15 months. The workbook shows the carry-over deadline and flags carried days that were not used in time.
There is no legal standard – each employer sets its own trigger points (51, 201 and 401 are common examples, editable in SETTINGS). The Bradford factor is optional here and should only start a supportive conversation: never use it to penalise statutory leave or absence linked to disability or pregnancy.
Yes. Choose the month the leave year starts in SETTINGS (1 = January, 4 = the statutory leave year from 1 April). Statutory sick pay always runs per calendar year, and the public holidays for 2026 and 2027 are already filled in.

An annual leave tracker in Excel lets a small business see every employee's holiday entitlement, what has been taken and booked, and what is left – without HR software or a subscription. This leave tracker Excel template follows Irish rules: the three Working Time Act methods for full-time, part-time and variable-hours staff, public holiday benefit and carried-over leave.
It is also an absence tracker and staff holiday planner: log sick leave, force majeure, parent's leave or unpaid leave, see statutory sick pay used and left, plan cover per team in the month view and keep an optional Bradford factor score – all in one workbook with the 2026 and 2027 bank holidays included.
