Safe Pass, CSCS & training expiry register for Irish contractors
Record every certificate once. The matrix shows who holds what and until when, the gaps against each role, and a renewal plan with the cost of the courses you need to book.
On most Irish sites the question is simple: does everyone here hold a valid Safe Pass, and the right CSCS card for the machine they drive? The answer usually sits in a folder of photocopied cards, a few spreadsheets and somebody's memory – until a client audit, a tender or a site visit asks for it, or a card quietly expires.
This workbook turns those records into a training matrix. Enter one line per certificate: the expiry date is calculated (Safe Pass 4 years, CSCS 5 years, PHECC First Aid Response 2 years and so on – all editable) and appears in the matrix, coloured green, yellow or red. Requirements by role show what is missing, a renewal plan lists what to book with the estimated cost, and subcontract and agency operatives are covered too.
Key figures, quick links and a step-by-step guide.
Company, warning window, Safe Pass renewal route (renewal test or course), CSCS New Entrant validity, 20 courses with validity, book-ahead days and cost, training providers and sites.
Role × course grid: R = required, O = optional. Drives the gaps in the matrix.
Employees, subcontract and agency operatives with role, site and status – required, valid, missing, compliance and next expiry.
One line per certificate or card: completed, expiry, status, provider, certificate number, cost, on file, booked for.
Person × course grid with the expiry date of each current certificate, GAP, Booked and totals per course.
Certificates to renew (soonest first), missing required training and a 12-month renewal budget.
Companies on site, safety statement, insurance expiry and how many of their people are compliant.
Compliance, expired, due soon and gaps, with charts by course, company and month.

A table with your people in the rows and the training they need in the columns. Each cell shows whether the person holds that course and until when, so gaps and expiring certificates stand out. In this workbook the cells show the expiry date of the current certificate, coloured green, yellow or red, and GAP where a required course is missing.
List your courses with how long each certificate lasts, decide which roles need which course, list your people with their role, and record each certificate with its date. Formulas then calculate the expiry dates, look up the current certificate for each person and course, and colour the result. The template has all of this built in – you only fill in the blue cells.
Four years – the expiry date is on the card. It is renewed with the SOLAS renewal test (booked in your SOLAS account, sat at a Pearson VUE centre) or the one-day course, also after it has expired. The workbook warns you 60 days ahead.
The regulations do not set a fixed period. Refresher training every three years is common practice in Ireland and many providers issue certificates on that basis, but retrain sooner if tasks, loads or equipment change or after an incident. In the workbook the validity of each course is simply a number of months you can change.
Yes – several sites offer free, general training matrix spreadsheets. This one is built for Irish sites: Safe Pass, CSCS cards, PHECC First Aid Response and other common courses, requirements by role, subcontractor operatives, a renewal plan with costs and a dashboard – with sample data so you can see it working.
No workbook can do that. It helps you keep clear, dated training records and see what is missing or expiring, but it does not check that a card is genuine and it does not replace your Safety Statement, a competent safety adviser, SOLAS or the HSA.

A training matrix template gives you a staff training matrix and a training register in one: who has done which course, when it expires and what is missing for their role. This Excel version is set up as a health and safety training matrix for construction and related trades, with Safe Pass expiry, CSCS card renewal every five years (two years for New Entrant cards), PHECC First Aid Response, manual handling, working at heights, abrasive wheels, confined space and more.
Use it as your training records template in Excel: one line per certificate with provider, card number and cost, and a skills matrix view that is ready for a client audit or tender. The renewal plan shows which Safe Pass renewals and other refreshers fall due, so you can book them in time and budget for them – Safe Pass renewals at the renewal test fee or the course price, as you choose.
