Job costing & quote calculator for Irish trades – charge-out rate, quotes with VAT, job costing and margins
Work out what an hour of your time really costs, build quotes line by line with materials, labour, plant hire and subcontractors, print them on A4 with the right VAT, and track hours and costs as the job runs.
Most small trade businesses price jobs on gut feeling: last year's day rate, a markup that 'seems about right', and a figure written on the back of a docket. The van, the insurance, the quoting at night and the half-day lost collecting materials never make it into the price – and nobody checks afterwards whether the job actually made money.
This workbook starts with your own numbers. TEAM & HOURS and CHARGE-OUT RATE turn wages, employer PRSI, pension, holidays and overheads into a break-even and charge-out rate for every grade. QUOTE LINES builds each quote from materials, hours, plant hire and subcontractors; JOBS adds contingency, discount, deposit and the VAT treatment; QUOTE prints it. JOB COSTS and JOB REVIEW then compare actual hours and costs with the quote, job by job and client by client.
Key figures, quick links and a step-by-step guide.

List the work as lines – each with a quantity, the materials at cost, the labour hours and any plant hire or subcontractor – then add your markup, the labour at your charge-out rate, contingency and VAT. In this workbook you enter the lines in QUOTE LINES and the job in JOBS; the totals, VAT, margin and the printable quote are calculated for you.
Add up what the business costs in a year – wages, employer PRSI, pension, your own drawings, vans, insurance, tools, rent, accountant – and divide by the hours you can actually bill, not the hours you work. Then add your profit margin. TEAM & HOURS and CHARGE-OUT RATE do exactly this for each grade and show your break-even rate next to your current rate.
There are free estimate templates online, mostly American and without Irish VAT. This one is paid because it goes further: charge-out rate from your own costs, quote builder with markups, 13.5% / 23% / reverse-charge VAT, a printable quote, and job costing against the quote – with example data so you can see it working before you add your own.
Separate cost from price. Enter materials, plant hire and subcontractors at what they cost you, and labour as hours per grade; the workbook applies your markups and rates to get the price, and keeps the cost, so every line and every quote shows its margin before you send it.
Most construction services – building, repairs, installation – are charged at the reduced rate of 13.5%. If the goods you supply cost more than two-thirds of the VAT-exclusive price, the goods rate (usually 23%) can apply to the whole job, and subcontract work for a principal contractor under RCT is reverse-charged. The workbook lets you pick the treatment per quote and flags the two-thirds case – check the treatment with your accountant or Revenue.
A quotation is a fixed price for the work described; an estimate is your best guess of the final price. Each job in this workbook is marked as one or the other, and the printout uses the matching title and wording, including how variations and extra work are agreed.

Job costing & quote calculator for Irish trades – charge-out rate, quotes with VAT, job costing and margins · €69
A quote template for trades has to do more than add up lines: it needs your real hourly rate, the right markup on materials, plant hire and subcontractors, and the correct Irish VAT. This Excel quotation template works as a builders' estimate template and a construction estimating spreadsheet, with a printable A4 quote or estimate for every job.
Use it as a job costing template too: log actual hours, materials and variations, compare them with the quote and see the gross and net margin per job and per client. The charge-out rate calculator shows what a contractor's hourly rate must be to cover wages, overheads and profit.
