Employee induction plan for Irish employers – pre-boarding to 6 months, probation, Day 5 statement, PPSN and RPN, right to work, reviews and an A4 checklist for up to 20 starters
Add a new starter and their start date. The workbook dates every induction task, the Day 5 statement, the RPN and the end-of-probation review, shows what is overdue and prints a one-page checklist for the first day.
On the first morning the laptop isn't set up, nobody told the team, and the safety induction is pencilled in for 'next week'. Five days later nobody has issued the statement of core terms, payroll is waiting on a PPSN, and the first payslip goes out on emergency tax. Six months on, someone notices the probation ends on Friday – and the review never happened.
This template turns the induction into a clear plan. Enter each starter with their role, department, start date, hours, contract, line manager and buddy: the file works out the probation end (with any extension for protected leave), the review deadline and the due date of every task from pre-boarding to six months. The STARTER CHECKS sheet tracks the Irish paperwork – Day 5 statement, full written statement, PPSN, RPN, right to work, privacy notice and Safety Statement – and you print an A4 checklist for each person with the owners' names.
Key figures, quick links and a step-by-step guide.

Everything a new starter needs from the job offer to the end of probation: the contract and written statements, starter checks (PPSN, right to work, bank details), workstation and IT access, a safety induction with the Safety Statement, introductions to the team and a buddy, job training, probation objectives and reviews. The template comes with 44 standard tasks in six phases that you can change, each with an owner and a due date.
The words are often used for the same thing. Induction usually means the first days and weeks – welcome, safety, rules and first tasks – while onboarding covers the whole journey from the job offer until the person is fully settled, often six months or more. This template covers both: pre-boarding, day 1, week 1, month 1, probation and six months.
In the private sector, a probationary period may not exceed 6 months. Only on an exceptional basis may it be longer – up to 12 months – where that is in the employee's interest. If the employee is absent on maternity, adoptive, parental, carer's, paternity or parent's leave or statutory sick leave, the probation is extended by that absence. Enter those days in the 'Absence extension' column and the probation end moves.
Within five days of the start, a statement of core terms – names, employer address, place of work, job title, start date, probation, duration for temporary or fixed-term contracts, pay, normal hours and overtime terms. Within one month, the full written statement of terms. The STARTER CHECKS sheet dates both deadlines and turns red when one is missed.
Yes. Register every new employee before their first payday by requesting a Revenue Payroll Notification (RPN) with the correct start date through your payroll software or ROS. If it is the person's first job in Ireland, they register the job in myAccount first. Without an RPN, emergency tax applies – so the template asks for the first payday and warns before it.
Yes. Up to 20 starters run in parallel in the same plan. Tasks can apply to everyone or to one department only, the UPCOMING sheet lists what is due across all starters, and the CHECKLIST prints one page per person.

Employee induction plan for Irish employers – pre-boarding to 6 months, probation, Day 5 statement, PPSN and RPN, right to work, reviews and an A4 checklist for up to 20 starters · €49
This induction checklist template in Excel plans the induction of new employees from the job offer to the six-month review: a pre-boarding checklist with the contract, starter form and IT access, an employee induction plan for day one and week one, probation objectives and an end-of-probation review. As a new starter checklist it shows for each person what is done, open or overdue, and prints on one A4 page.
For Irish employers it also works as an employee onboarding checklist with the local paperwork: the Day 5 statement of core terms and the written statement within one month, PPSN and Revenue registration before the first payday, right-to-work documents and permit expiry, the GDPR privacy notice and the Safety Statement on day one. The example is a food business in Co. Cork with 12 new starters.
